Commercial project planning

How to compare commercial installation quotes.

Use this checklist when comparing cabling, security camera, or access control proposals for an Atlanta commercial property. Confirm that each quote covers the work your facility needs.

Start with the same project requirements.

Give each installer the same facility location, goals, approximate quantities, and target schedule. Explain what is already installed and what is changing. A proposal for new equipment and a proposal that reuses existing hardware can have different costs and limitations.

You can begin with a problem rather than a finished equipment list. A site review may be needed to establish quantities, routes, or compatibility before the final proposal.

Check the equipment and installation work.

Ask for the quantities and specifications behind the price. Confirm cable routes, mounting, power, network connections, and the division of work with your IT team and other contractors. Identify exclusions and assumptions before comparing totals.

  • Access control: doors, readers, controllers, lock hardware, credentials, and subscriptions.
  • Cameras: agreed views, lighting, mounting locations, storage, and remote access.
  • Cabling: outlet counts, cable specification, racks, pathways, removal, and testing.

Separate installation charges from ongoing costs.

Compare equipment and labor alongside licensing, cloud services, credential charges, maintenance, and support. Ask which costs repeat, how they are billed, and who manages the accounts. A lower installation total may cover a different set of items.

For an upgrade, confirm which equipment can be reused and what must be replaced. Compatibility and access to the current system need review before reuse is assumed.

Agree how the work fits your operation.

Confirm site-access hours, building requirements, work involving other trades, and any planned interruption. Establish who disconnects and reconnects active equipment and what must be ready before installation can start.

For a move or construction project, give the installer your required completion date and any bid deadline. The proposal should distinguish the requested date from the agreed installation schedule.

Decide what completion must demonstrate.

A finished installation should be checked against the functions and tests in the proposal. For cameras, that can include agreed views, recording, and retrieval. For access control, it can include door behavior, access schedules, and administrator use.

For cabling, identify whether the quote includes continuity checks or performance certification, the links to be tested, and the report format. Ask how labels, installed-link records, and test results will correspond.

Know what your team receives afterward.

The exact package depends on the project. Write these requirements into the proposal so each installer is quoting the same expected result.

  • Equipment and installation records listed in the proposal.
  • Agreed test results and any drawing updates.
  • System account ownership and administrator access.
  • User or administrator instructions and training included.
  • Support contact, covered systems, service hours, and applicable charges.
